Automating title, registration, tax and regulatory document processing in fifty states with all taxes and fees

Problem: Company serving the Fleet industry needed to perform document processing for titles, registrations, and financial documents in all 50 states. The process by hand was highly error prone, time consuming and costly. The Company was increasing the number of customers they served, and processed these documents with a distributed staff. The Company was also using different applications for contact management, invoicing and accounting, which fragmented the data and increased the error rate even higher.
Goal: Automate the regulatory document processing, invoicing, and accounting to eliminate the data fragmentation, reduce the errors, and speed up all form processing. Save money from duplicate software vendors. Eliminate re-work and data duplication.
Strategy to Adopt Unified Dealer Management: The company chose to immediately start using the CRM and Messaging solution with Autodeals. A large portion of the regulatory documents were already in our dealer management software. The balance of the forms and the invoicing component were quickly added.
Work Process: As the staff ramped up quickly, the balance of the forms required for processing were loaded into the dealer management software. The invoicing integration was performed quickly. The Company leveraged the advanced company to contact CRM features to manage customers with locations distributed across many states with forms requiring central and distributed information on the regulatory forms.
Results: The Company was able to achieve a solution that was easy to use, sophisticated enough to perform regulatory document processing in 50 states, and provide the necessary invoicing and billing system required. The next phase is to complete the accounting integration and leverage the automatic collection features of Autodeals and our payment processing.
