Automating rentals

Problem: Family owned equipment rental company performing selling and delivery processes with paper contracts. Contract process is time consuming, and error prone. Legal terms and conditions changing more often and resulting in accelerating legal costs. Poor tracking and handling of customer contracts has resulted in losses, and lack of knowledge about clients. Employees also TEXTING with customers from personal phones and no information available regarding what is happening, and employees not safe with using own phone.

Goals: Automate customers rental agreements, customer database, messaging, service, and accounting in simple system. Do not add back office equipment that has to be purchased/managed/backed up by staff.

Strategy: Leverage Autodeals software as a service to automate customer data, messaging, service scheduling, service tracking, rental agreements and accounting. Track all agreements and collect payments and automate receipts to accounting.

Work Process: Activate DMS and start using CRM, Messaging, and Service schedule first week after training. Assessment phase started to add rental agreements and any other risk documents required for business. Perform development to automate exact items on rental agreement and get processing of documents done by the end second week. Identify all expenses and sales receipts for processing directly into accounting and implement by third week. Merchant Payment integration also turned on to enable Card, Pinpad, and ACH collections.

Summary: In under one month, transformed paper driven legacy environment to software as a service experts. No backups or backoffice equipment required to be purchased by Company. All backups performed automatically and company only needs computer or IPAD with Google Chrome or Safari to access solution. Software fully mobile and can be accessed from anywhere from anydevice. With consolidated accounting, service and contracts the processing of their business has never been smoother.
